A More Professional Rental Process

Before Waitly, waiting list administration was based on paper, manual workflows, and ongoing updates. This meant that Birte herself had to sort applicants, keep track of their preferences, and ensure that the correct order was followed in each individual rental case.

After the implementation of Waitly, the process has become much more consistent.

The waiting lists are now digital, applicants can follow their own position, and available leases are advertised in a more professional and transparent way. This has given the Færch Foundation a better administrative overview and created a more modern experience for housing applicants.

Fewer Errors and a More Efficient Rental Process

One of the biggest benefits of digitalization has been the reduction of potential errors. When waiting lists are handled manually, there is always a risk that something may be overlooked: an applicant, a response, a priority, or a change in preferences. With Waitly, the process follows a fixed digital structure in which applicants and responses are handled in one single place.

This creates greater confidence in the rental process - both for the Færch Foundation and for the applicants. Waitly’s platform has been developed specifically to make waiting lists simple, transparent, and fair for both administrators and housing applicants, allowing users to see their position, status, and relevant information directly in the system.

The fixed digital structure has not only reduced the risk of errors, but it has also made rental work more efficient. The Færch Foundation has around 25 rentals per year, and Birte estimates that she typically saves a couple of hours per rental case because she no longer has to sort applicants manually. In total, this corresponds to approximately one-third to half a working week per year.


GDPR and Secure Handling of Personal Data

Another important benefit for the Færch Foundation is the handling of personal data.

Previously, sensitive information was stored in manual systems and physical documents. With Waitly, personal data is handled digitally and in accordance with GDPR, giving Birte greater confidence in her day-to-day work.

This means that the Færch Foundation no longer has to store and manage sensitive personal information in the same way as before.

Waitly works systematically with user and data rights, including access, rectification, deletion, and documented handling of GDPR requests.


From Manual Administration to Digital Structure

For the Færch Foundation, the transition to Waitly has not eliminated all tasks in the rental process. But it has changed the way those tasks are carried out.

Where waiting lists previously required paper forms, manual sorting, and ongoing checks, the process is now gathered in one digital platform. This gives Birte a more professional basis for managing rentals and gives applicants a better opportunity to follow the process themselves.

For an organization with 190 leases and approximately 25 annual rentals, this represents a concrete improvement in an important administrative process.
