Manual Work, Lack of Overview, and GDPR Risk
Each available unit generated a large number of inquiries - typically around 20 interested parties - all of whom had to be responded to, coordinated, and followed up with manually via email. There was no consolidated overview of who had reached out, when, or what the status was.
Everything from advertising and setup to responding to inquiries and coordinating viewings was handled manually. For each rental, the team spent significant time on tasks that repeated over and over.
Each available unit typically attracted around 20 interested applicants, all of whom had to be handled manually. Without one shared system, communication and follow up became time consuming and made it difficult to keep a clear overview of the process.
Personal data on prospective tenants was scattered across email inboxes and local hard drives. There was no systematic handling of consent, deletion, or data retention - and for Dansk Financia, this was not a nice-to-have, but a real risk that needed to be eliminated.

Before Waitly, Dansk Financia had no waiting list. When a unit became available, it was posted on the company's own website, and emails were sent to previously interested parties. Occasionally, listings were also placed on external platforms.
Dansk Financia implemented Waitly as their complete rental platform. Today, the entire process - from waiting list to selected tenant - takes place inside Waitly.
Prospective tenants sign up themselves via Waitly. No emails, no manual lists. Dansk Financia has full oversight of all registered applicants.
When a unit becomes available, the team can select from the waiting list based on the best match. Viewings are coordinated directly on the platform.
All personal data is stored and handled server-side in Waitly. No data on local hard drives, no scattered email inboxes. The risk is eliminated.
Tenants find answers themselves via the platform. This has significantly reduced the number of direct inquiries.

Today, the entire process takes place within Waitly. Interested tenants sign up themselves through the platform, the team selects the right match from the waiting list, and viewings are coordinated directly in the system.
This has given Dansk Financia a more cohesive workflow, where the entire rental process is managed in one place, without the need for external platforms.

Before: Personal data scattered across email inboxes and local hard drives. No systematic handling. After: All data stored and managed in Waitly. The risk is completely eliminated.
