Background

Arca Bolig is a Danish company that manages 170 residential rental units and 16 commercial leases located in Vesterbro, Christianshavn, Frederiksberg, Brønshøj, and Kokkedal.

The team consists of only four people, which is why the company also works with a law firm on various administrative tasks.

Property Manager Sina Ghanbari came across Waitly's solution by chance on LinkedIn in January 2022 and contacted Waitly to learn more. After the first conversation, Sina was convinced that Waitly could improve both the rental workflow and the tenant experience.

Challenge

Arca Bolig has an attractive property portfolio consisting of a good mix of centrally located properties with a small number of units, from 4 to 11 units, and larger properties with between 24 and 112 units in Brønshøj and Kokkedal.

As a result, Arca Bolig receives many weekly enquiries from potential future tenants who want to know about the possibility of renting a home.

A significant amount of time was spent collecting these leads in Excel. However, many of them turned out not to be genuinely interested in living in the specific property, as there was no commitment involved in registering their interest.

When Arca Bolig received notice that a property was becoming vacant, the company would normally post an advertisement on Facebook or well-known housing portals. This often resulted in between 50 and 100 enquiries.

Each enquiry had to be reviewed to identify the best match. Arca Bolig also contacted people in its own database, but suitable tenants were often found through external platforms.

Solution

Waitly was implemented across Arca Bolig's seven properties. A direct link was added to Arca Bolig's website, allowing applicants to join the waiting lists directly through Waitly.

All seven properties were also added to Waitly's rental housing platform, where selected properties were promoted to Waitly's database of interested applicants.

To ensure that the people signing up were genuinely interested, a fee of DKK 300 per registration was added to the waiting lists.

For the first listings, Sina followed the usual process and published them on various housing portals and Facebook. Everyone who did not get the property was encouraged to join the waiting list. This meant they could be contacted first the next time a property became available, before Sina published the listing publicly.

Result

Arca Bolig has now been live on the platform for approximately six months and has 111 people registered across the seven properties.

Sina has eliminated non-serious enquiries. Whenever new potential tenants contact him about an apartment, he sends them a link to the waiting list.
